What is RFID and how does a contactless card work?

RFID stands for Radio Frequency Identification, a technology that identifies a card over radio waves. Inside an RFID student card sit two components you cannot see: a small chip and a thin antenna running around the edge of the card. When the card comes close to a reader, the electromagnetic field emitted by the reader powers the chip through the antenna, which is why the card never needs a battery. The chip transmits its identification number to the reader, and the reader passes that number on to the system behind it.

Everything after that is software. The system matches the number to a student record and acts on the scenario at hand: it opens a gate, deducts a canteen balance or logs an attendance event. Because no physical contact is required, cards do not wear out from swiping, a read takes a fraction of a second, and busy entrances stay free of queues. That is the key difference from magnetic stripe or barcode cards — there is nothing to swipe or align, a simple tap is enough.

For a school, this principle translates into something very practical: the single card a student carries becomes a shared key that talks to different systems at different points around the building.

Everyday scenarios united on a single card

The real strength of an RFID student card is consolidation — several daily transactions handled by one card. The most common scenarios in schools are:

  • Door and turnstile access: Students tap in at the entrance; the system admits authorised cards only, keeping unknown visitors out. Time-based rules can be added where needed.
  • School bus tracking: A reader on the vehicle records when each student boards and leaves, so administrators can see who is on which bus in real time.
  • Canteen balance: The card behaves like a prepaid wallet; parents top it up, students pay for meals without carrying cash, and every purchase is logged.
  • Library loans: The same card doubles as the library membership; borrowing and returning books takes seconds at the desk.
  • Attendance and parent notifications: Entry and exit records become attendance data, and the system can send automatic notifications to parents if the school chooses to.

One distinction matters here: each of these scenarios is a separate module on the software side, while the card is the shared identity key for all of them. The school decides which modules go live — starting with turnstiles alone and adding the canteen or library later is entirely normal. Chip families: MIFARE Classic, DESFire, Ultralight and HID

An "RFID card" is not a single product. The chip family inside the card determines both its security level and which readers it will work with. The options you will meet most often in school projects are:

  • MIFARE Classic: One of the most widely deployed contactless chip families, with very broad reader support and a memory organised into sectors. Its security architecture is an older generation, so while it remains common for simple access and identification, stronger options are preferred where money balances or sensitive data are involved.
  • MIFARE DESFire: Offers modern encryption (AES) and multi-application support, so access, canteen and library functions can live on the same card as separate, securely isolated applications. It is the family of choice when a stored balance is part of the picture.
  • MIFARE Ultralight: Low-cost with limited memory; better suited to short-lived uses such as event tickets or visitor passes than to a permanent student ID.
  • HID: A brand ecosystem widely used in corporate access control. If your school's existing system was built on HID infrastructure, the cards need to be chosen for compatibility with that ecosystem.

Beyond these, MIFARE-compatible chips such as Fudan are frequent choices in budget-driven projects — provided compatibility is always verified against your own readers. The rule of thumb is simple: if the system only reads an ID number, widespread and economical families may be sufficient; if the card will hold a balance or your security requirements are higher, look at families with modern encryption. Combining RFID with printing: one card, also a photo ID

Because the chip is embedded inside the card, the surface stays completely blank and printable. The same card can therefore serve as both a key the system reads and a visual ID carrying a photo, full name, student number, class and the school crest. Staff at the door recognise the student by sight while the system verifies identity from the chip — the two layers reinforce each other.

There are two ways to handle the printing. The first is running a card printer in-house: machines from Matica, Evolis, Zebra, Fargo and Magicard can print directly onto RFID cards, and original ribbons keep the results durable. The second is ordering printing as a service: you send your student list and photos, the design is submitted for your approval, and once approved the cards are printed and shipped — with additional print runs available during the year for new enrolments. Fitting into an existing system: the reader compatibility question

The most critical technical issue in any RFID project is making sure the card and the reader speak the same language. Contactless cards operate at different frequencies and with different protocols; a 125 kHz proximity card and a 13.56 MHz smart card will not work in each other's readers. Even at the same frequency, differences in chip family and security mode can cause incompatibility.

Our practical advice is therefore straightforward: before ordering cards, ask the company that installed your turnstile, canteen or attendance system a direct question — "Which chip type and frequency do you support?" If you have a working card, share a sample; asking for an exact match of your current card is often safer than relying on technical names alone. Testing a small batch of sample cards on every reader before committing to volume production eliminates surprises early. Buying cards from a different supplier than your system installer is perfectly feasible — as long as the chip type has been verified.

Planning the transition step by step

Managing the rollout matters as much as the card technology itself. For a school issuing cards to hundreds of students, a sequence that works well looks like this:

  1. List your needs: Which scenarios go live first — turnstiles only, or the canteen and buses as well?
  2. Take a system inventory: Establish which readers and software you already run and which chip types they support.
  3. Choose the chip family and test samples: Confirm the chosen card works at every reading point.
  4. Prepare the design and the data list: Collect photos, names, numbers and classes in a single list, and sign off the card design.
  5. Plan printing and distribution: Packing cards by class makes handout easier; write the lost-card procedure before day one.
  6. Allow for mid-year reprints: Keep a channel open for new enrolments and replacements throughout the year.

Frequently asked questions

We already have a turnstile system — can we buy just the cards?

Yes. As long as the chip type and frequency match your existing readers, the cards can come from a separate supplier. Ask your system provider which chip type they support, share a sample of a working card if you can, and test sample cards before placing a volume order.

Can an RFID card be printed on later?

It can. The surface of an RFID card accepts print just like a standard PVC card, so photos and logos can be added with a card printer. The chip and antenna are protected inside the card, and printing with appropriate printer settings does not harm them. Alternatively, you can order the cards pre-printed and ready to distribute.

What happens if a student loses their card?

This is one of the advantages of RFID systems: a lost card is deactivated in the system immediately, so it can no longer open doors or spend a balance. A new card is assigned to the student, and a replacement can be produced through mid-year reprint runs. Because balances live in the system rather than on the card, nothing is lost with the card itself.
